Practical CRM Gem guidance

Recurring Invoices

Configure Pro recurring invoice schedules, automatic generation, and optional automatic delivery.

Overview

Follow this guide from top to bottom for a complete workflow, or choose a specific topic from the list.

Pro requirement

Recurring invoices, automatic recurring generation, and automatic recurring delivery require Pro.

Create a recurring invoice

Open a base invoice, find Recurring Invoices, configure the displayed schedule, and turn on Enable Recurring.

Automatic generation and delivery

The active schedule generates due instances. Turn on Auto-send only when generated invoices should also be delivered automatically.

Duplicate prevention

CRM Gem guards a scheduled occurrence from being generated more than once; do not recreate schedules to retry delivery.

Edit or stop a schedule

Return to the base invoice recurring settings to update the schedule or turn off Enable Recurring.

Step-by-step

  1. 1

    Open a base invoice

Use an invoice with the client, items, currency, and terms you want repeated.

  2. 2

    Configure the schedule

Complete the recurring fields displayed and enable the schedule.

  3. 3

    Choose delivery behavior

Turn on Auto-send for automatic delivery, or leave it off to review generated invoices first.

  4. 4

    Monitor generated invoices

Check the schedule status and generated documents; edit or stop the schedule from the base invoice.

Helpful tips

  • Confirm the recipient and schedule before enabling Auto-send.
  • Use one active schedule for the intended recurring series.

Common mistakes

  • Using incomplete client or business information.
  • Closing the page before an action finishes.
